How do I search for source details?

Hi All,

Firstly a happy Christmas to everyone. Secondly, does anyone know how to search for source details which have (or don't have) media files attached?

Here's what I am trying to achieve > I am planning a trip to a Record Office over the holidays and so am busy preparing my research plan. One of my aims is to view original parish record sources and get photos for records where I only have transcriptions eg from FamilySearch records. One of the ways I thought I could identify whether I have viewed an original record is by checking whether there is a media file attached to the source. I can do this manually but it would be great if the collective wisdom out there could suggest any short cuts - or other methods to do this. I know in future I could use the 'verified' flag or another tag to identify when I have seen an original source, but this is one of those things I wish I knew before I had entered thousands of records! Ah well, another one chalked up to experience. Have a happy and peaceful holiday period.

  1. And a Merry Christmas to you as well Mike Edwards. First let me say I don't attach media (just not there yet) but your question is a good one and makes us try to see if we can puzzle out an answer in the LVUG Community. So I took a stab at it -

    I took a look at the Search tab and found that while there are several items that can be searched "media" or "media files" is not one of them.

    Then I clicked on the media tab in my Family View (it is one of my icons - I do plan on getting there) and when that opened, I clicked on HELP - big fan of Help! It explained things somewhat so

    I went to the Reports tab and selected Other Reports and then Picture Scrapbook - when that opens you get (say it with me) Options - you can print a Media File List and you have the option to include individual, marriage, location, addresses, master sources, source citation detail (all or a few or one).

    Query to all - is this a way of searching for those who have media attached? Please try (preview your report or print to PDF - as you don't want scads of paper). Does this work? Inquiring minds want to know.

    Any other ideas for this exercise?

Mike, as far as I know there is not; I even suggested it as a future feature of the program (and was told by a rather snotty support person that it was inappropriate and impossible to implement therefore she would not be passing it on to the tech people).  Perhaps if others requested this as well, support would have no choice but to pass it along to the tech devs to see if they can implement it into the program. 

    As it stands now, the only way to see if a source has a media file attached is to open it up.  I too have thousands of people in my tree, each with one or more sources attached, so I feel your pain in trying to go back through and tag the ones with media attached; unfortunately, I can figure out no other way to accomplish this within the program.

    Tessa - your idea about the Scrapbook report gets me quite a bit closer to solving my problem. Thank you! You can indeed produce a list of all media files attached to Source Citation Details. This produces a list in report format without printing all the images too.

    What is even better is that you can add to the report the File ID and the "Description of what the photo is linked to". This is also where my naming convention for source images helps me, as I name all my files "ID - SURNAME, Forname, Event - date". So I can get a complete list of sources which INCLUDE images.

    I reckon that with a bit of manipulation in Excel I could sort all this information out. Sadly, there is no option to export this list as CSV file so I have had to do this via cutting and pasting a text file. I then have to find a way of identifying events which DON'T HAVE image files attached to the source citation.

    There is another annoying feature in this report menu. If I select the option to limit the report to tagged individuals only then this works fine for media files attached to the individual eg a photo of them. However, it seems that when I select the option to include media attached to Source Citation Details it overrides the tag filter and I get a list of all images.

    As I said, I am a lot closer to a solution thanks to your input. I really appreciate it - and your empathy Wade!

    I will keep trying to find a way through this and let you know if I find a workable solution. You never know what Santa will bring you!

  4. Hmmm - am about to turn off social media for the Christmas holidays - well 2 days at least - as family arrived last night. Very little genealogy in the next 48 hours - rather Star Wars and visiting today, Christmas Mass at the Cathedral tomorrow morning, and dinner with the Italian side of our family (married in).

    But in the meantime (and anyone else trying this at home), Mike Edwards - you get a report (not csv - Santa you now know what we want for Christmas - or the New Year). Are you able to get it in rich text format and can you then put it in Excel with a special paste function? If it gives it to you all in one column, are you able to copy a part of it (in Excel) and transpose it to work with the media item? Let me know what your report looks like and perhaps we can ask the Excel-ing for Genealogists group for some help on spiffing it up.
